Who we are

OpOrd is a trade name of Everly Mews LLC, a Wyoming limited liability company (“OpOrd,” “we,” “us”). We provide managed month-end billing services to commercial subcontractors. This policy explains how we handle personal information on opord.co, in our billing desk at app.opord.co, and in the emails and text messages we send.

What this covers

This policy covers information about:

  • visitors to our website and people who contact us;
  • people who opt in to our billing text messages;
  • our clients, and the people we work with on their behalf — their owners and staff, their vendors and suppliers, and the general contractors they bill.

When we handle billing records for a client, we do so on that client’s instructions and under our agreement with them. If your information reached us through one of our clients, you can also contact that client about it.

What we collect

Information you give us

  • Contact form: your name, work email, company, the number of general contractors you bill, and anything you write in your message.
  • Text message opt-in: your name, mobile number, company and role, together with a record of your consent — the date and time, the wording you agreed to, and the IP address and browser used to submit it.
  • Messages: the content of texts, emails, photos and attachments you send us, such as progress numbers, marked-up schedules of values and signed lien waivers.

Information from our clients

  • Business contact details for the client’s owners and staff, vendors, suppliers and general contractors: names, job titles, company names, work email addresses and phone numbers.
  • Billing records: projects, schedules of values, pay applications, retainage, lien waivers, insurance certificates, and the documents that make up each pay application package.
  • Signatures and signing records collected through our e-signature provider.

Bank information, if a client connects it

A client may choose to connect a business bank account through Plaid so we can recognize payments when they arrive. That connection is read-only: we receive account names, masked account numbers, and transaction details such as dates, amounts and payer names. We cannot move money. We never receive or ask for bank passwords.

Information collected automatically

Our hosting provider, Cloudflare, processes technical information such as IP addresses, browser type and the pages requested, to deliver the site and protect it from abuse. Our billing desk records who signed in and what changed, so there is an audit trail.

How we use it

  • to reply to you and to discuss whether our service fits your business;
  • to provide our services to clients: requesting, checking and assembling billing documents, preparing packages for signature, and recording payments;
  • to send the emails and text messages that the service involves, to people who have agreed to receive them;
  • to keep records of consent, opt-outs and signatures;
  • to secure our systems, prevent fraud and spam, and fix problems;
  • to comply with law and enforce our agreements.

Where documents arrive as photos or scans, we use software, including AI tools provided by Anthropic, to read figures from them. Anything the software isn’t sure about is flagged for a person to check. We don’t use your information to train AI models, and we don’t sell it.

Text messages

We send billing text messages only to people who have opted in, as described on our text messages page. We use mobile numbers only to send those messages and to keep a record of consent and opt-outs.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information may be shared with service providers that help us deliver messages and support, such as our messaging provider, solely to provide the service. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Reply STOP to any message to opt out, or HELP for help. Message and data rates may apply.

How we share it

We share personal information only as follows:

  • With our clients and the parties to their billing. Billing documents go to the client they belong to, and — when the client directs — to the general contractors and owners receiving the pay application. A vendor’s signed waiver, for example, becomes part of the client’s package.
  • With service providers that process information for us under contract and only on our instructions:
ProviderWhat they do for us
CloudflareWebsite and application hosting, database storage, sign-in protection and security
Quo (OpenPhone)Sending and receiving text messages
Google WorkspaceEmail
BoldSignElectronic signatures and signing records
PlaidRead-only bank connections, only for clients who choose to connect
AnthropicReading figures from photos and messages, with human review of anything uncertain
  • For legal reasons, when we believe in good faith it is required by law, legal process or a government request, or needed to protect the rights, property or safety of our clients, our business or others.
  • In a business transfer, such as a merger or sale of assets, subject to this policy.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

Cookies and analytics

Our website does not use advertising cookies or third-party analytics, and our fonts and media are served from our own domain. Our billing desk uses cookies that are strictly necessary to keep authorized users signed in.

How long we keep it

  • Inquiries are kept for as long as the conversation is active and for up to two years after, unless you become a client.
  • Client billing records are kept for the term of the engagement and then returned or deleted as our agreement provides, except where we must keep them to meet legal obligations or resolve disputes.
  • Text message consent and opt-out records are kept for as long as we text you and for four years after, so we can show that we honored your choices.

Security

We use administrative, technical and physical safeguards appropriate to a small business handling financial documents: sign-in protection for our desk, encryption in transit, encryption of sensitive credentials at rest, read-only bank access, and least-privilege access for our providers. No system is perfectly secure, but we work to protect your information and will notify affected people of a breach as the law requires. Our security page has more detail.

Your choices and rights

  • Texts: reply STOP to opt out, or START to opt back in.
  • Email: reply to any of our emails to tell us to stop. Emails that are part of a client’s billing may continue to reach the client.
  • Access, correction and deletion: you may ask what personal information we hold about you, and ask us to correct or delete it. Some information belongs to a client’s billing records, and we may need to keep it or refer you to that client; we’ll tell you if so.

To make a request, email [email protected]. We’ll confirm your request, may ask you to verify your identity, and will respond within 45 days. We won’t treat you differently for exercising these rights. Depending on where you live, you may have additional rights under state law, including the right to appeal our decision on your request by replying to our response.

Children

Our services are for businesses. We don’t knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we’ll delete it.

Changes

We may update this policy as our services change. We’ll post the new version here with a new “last updated” date, and if a change materially affects how we use information we already hold, we’ll notify affected clients and people who have opted in to texts.
